Title

Consider a resolution authorizing the City Manager to execute a one-year agreement with Datavox, of Houston, Texas, for the purchase of Cisco SMARTnet services.

Body

Action Requested:

Consider a resolution authorizing the City Manager to execute a one year agreement with Datavox, of Houston, Texas, for the purchase of Cisco SMARTnet services, through The Interlocal Purchasing System (TIPS), for the Information Technology Department.

Background:

Cisco SMARTnet is a premium technical support and maintenance service contract designed to ensure business continuity and keep Cisco networking infrastructure running without disruption.

Core Features

-  24/7/365 TAC Access: Direct, round-the-clock access to certified engineers at the   Cisco Technical Assistance Center (TAC) for expert troubleshooting and rapid issue resolution.

-  Rapid Hardware Replacement (RMA): Fast advance hardware replacement options tailored to business urgency, including Next Business Day (NBD), 4-hour, or even 2-hour Service Level Agreements (SLAs). On-site technician options are also available.

-  Ongoing Software Updates: Legal entitlement to the latest Cisco OS software updates, minor revisions, bug fixes, and critical security patches.

Financial Impact:

The cost to extend our current contract for one year of Cisco SMARTnet service is $53,488.31.

The Interlocal Purchasing System (TIPS) has entered into a contractual agreement with Cisco Networks for SMARTnet services, which are sold by Datavox, a value-added reseller, through their respective TIPS contract.

By participating in the TIPS program, the City meets all State and local competitive bidding requirements, while also benefiting from increased buying power through the cooperative purchasing network.

Funding is available from the Fiscal Year 2026-27 Information Technology Fund. Every department within the city contributes a per computer fee to the Information Technology Fund within their specific fund/department/program office equipment lease budget line item.

Alternatives:

City Council has the following alternatives:

-                     Approve as submitted

-                     Approve with changes

-                     Denial

Council Action:

The recommendation is to extend our current Cisco SMARTnet services contract for one year at a cost of $53,488.31 and to authorize the City Manager to sign the contract and related documents.
