Consider a resolution approving the proposal from Yeehaw Tractor Guys LLC, of Denton, Texas, for contractual services relating to 2026 Public Works Mowing Services for rights-of-way, water sites, drainage channels, and other City-owned properties, for the Public Works Department, for a five-year term; and authorizing the City Manager to execute all contract documents relating thereto on behalf of the City of Keller, Texas.
Action Requested:
Approve the proposal from Yeehaw Tractor Guys LLC, of Denton, Texas, for 2026 Public Works Mowing Services for rights-of-way, water sites, drainage channels, and other City-owned properties, in the first-year amount of $71,094.48 and in a total amount not to exceed $392,841.88 for a five-year term.
Background:
Each growing season, the City contracts with a third-party vendor to provide mowing services for various City-owned properties, including drainage channels, rights-of-way, utility sites, and vacant parcels.
A Request for Proposals (RFP) for said services was advertised in accordance with State law on March 18 and March 25, 2026. The contract term is for one (1) year, beginning April 27, 2026, with the option to renew for up to four (4) additional one-year terms, subject to available funding and satisfactory performance.
The City received five (5) proposals by the submission deadline on April 1, 2026. The lowest and most responsive proposal was submitted by Yeehaw Tractor Guys LLC, of Denton, Texas, in the first-year amount of $71,094.48, with annual escalation capped at 5%, for a total amount not to exceed $392,841.88 over the five-year term.
Financial Impact:
Funding for these services is included in the Public Works Department operating budgets for Street Maintenance, Drainage Maintenance, Water Production, and Wastewater Collection. Funding is provided through the General Fund, Drainage Utility Fund, and Water & Wastewater Utility Fund. The agreement provides for up to four (4) additional one-year renewals, subject to available funding and satisfactory performance.
