Body

Action Requested:

Approve a resolution approving the bid from Core & Main, LP for the purchase of Water & Sewer parts.

Background:

Annually, the Water and Wastewater Division of the Public Works Department solicits bids for water and sewer parts anticipated for use during the upcoming fiscal year. On Wednesday, September 17, 2025, bids were publicly opened for as-needed water and sewer line parts.

The sole responsive bid meeting all specifications and submitting pricing on all required line items was received from Core & Main LP of Richland Hills, Texas, in the amount of $224,266.21. Two additional vendors submitted “no bid” responses to the City’s advertisement.

Parts will be purchased on an as-needed basis for the Water and Wastewater Divisions. The bid schedule represents the majority of parts routinely ordered for departmental operations, with any items not listed subject to the percentage discount proposed in the bid for each category of parts.

The agreement is intended for automatic annual renewal for two additional option years, contingent upon budget appropriations approved by City Council. The vendor has proposed an annual escalation cap of up to 25%, however, the bid documentation caps the annual escalation at 10%, which is subject to review and approval by the Finance Department prior to renewal.

Financial Impact:

Funding is provided in the Water & Wastewater division of the Public Works department operating budgets, with funding provided by the Water and Wastewater Utility Fund.  The first year (fiscal year 2026) cost is $224,266.21.  The three-year not to exceed amount is $742,321.16
