Action Requested:

Consider a resolution approving the bid from Earthworks, Inc., for contractual services relating to Keller Town Center Annual Landscape Maintenance Services, in an amount not to exceed $726,690.

 

Background:                     

Earthworks, Inc. is currently contracted for Town Center Landscape Maintenance Services, which includes maintenance for all rights-of-way within Town Center from Rufe Snow Drive to Keller-Smithfield Road and Bear Creek Parkway to Keller Parkway; The Parks at Town Center; Keller Police Station; Fire Station No. 1, the Moviehouse & Eatery and Old Town Keller West. The contract expires on September 30, 2018.  Therefore, it was necessary to advertise for bids to begin a new contract effective October 1, 2018. 
                     
A request for sealed bids for said services was advertised in accordance with State law.  The term of the bid is two (2) twelve-month periods beginning October 1, 2018, with the option to renew for one (1) additional one-year period.

A mandatory pre-bid meeting was also advertised and conducted on August 22, 2018.  Three (3) vendors attended the pre-bid meeting.

Three (3) bids were received and read aloud in accordance with State law on August 31, 2018, at 10 a.m.  The lowest bid was submitted from Earthworks Inc., in the total amount of $242,230.00 for each twelve-month period, totaling $726,690.00 for the three year period.

Earthworks Inc., has managed both the Town Center Landscape contract and General Parks and City Grounds maintenance contract in previous years. 

 

Financial Impact:

Funding is available in the proposed FY 2018-19 Parks and Recreation General Fund budget.
