Action Requested:

Consider a resolution approving the purchase of an indoor pool HVAC system, from McMillan James Equipment Company of Grapevine, Texas, in the amount of $855,500, through the TIPS/TAPS Cooperative Purchasing Program.

Background:

The indoor pool HVAC system is the original system installed in 2004.  This system is reaching the end of its life cycle and has become cost prohibitive with repair costs, contractor maintenance, and staffing hours to repair and maintain.

McMillan James Equipment Company is a TIPS/TAPS Cooperative Purchasing Program provider and specializes in creating custom HVAC systems and engineered solutions.  McMillan James Equipment Company’s HVAC system is proposed to replace the existing equipment for $855,500.  McMillan James Equipment Company has completed similar projects at the Keller ISD Natatorium, City of Irving Mansfield ISD Natatorium, with future installations for Carroll ISD, City of Lancaster and the City of Denton.  The installation includes a two year parts warranty and 5 year extended compressor warranty.

Financial Impact:

The FY 2018-19 Keller Pointe budget includes funds for the indoor pool HVAC replacement.  However, the budget is only $650,000 so a future budget amendment will be required for the $205,500 variance.  The Keller Pointe has fund balance available for the variance and still remain within the fund balance policy.
