Title

Consider a resolution approving the bid from GI-Mow, of North Richland Hills, Texas for contractual services relating to Keller Sports Park Annual Grounds Maintenance Services, for the Parks and Recreation Department, for a three-year term; and authorizing the City Manager to execute all contract documents relating thereto on behalf of the City of Keller, Texas.

Body

Action Requested:

Consider a resolution approving the bid from GI-Mow, for contractual services relating to Keller Sports Park Annual Grounds Maintenance Services, in an amount not to exceed $170,604.

Background:

In an effort to reduce the cost of operating the Keller Sports Park, staff investigated the possibility of contracting out the mowing of the common, non-playing areas. By not filling one full-time vacancy, and instead utilizing that funding to contract out these mowing services, the Sports Park will realize over $13,000 of cost savings annually.

A request for sealed bids for said services was advertised in accordance with State law.  The term of the bid is one (1) twelve-month period beginning March 1, 2019, with the option to renew for two (2) additional one-year periods.

A mandatory pre-bid meeting was also advertised and conducted on December 19, 2018.  Three (3) vendors attended the pre-bid meeting.

Three (3) bids were received and read aloud in accordance with State law on December 28, 2018, at 10:00 a.m.  The lowest bid was submitted from GI-Mow, in the total amount of $56,868.00 for each twelve-month period, totaling $170,604.00 for the three year period.

Financial Impact:

Funding is available in the FY 2018-19 Parks and Recreation General Fund budget.
