Consider a resolution authorizing the City Manager to execute an agreement with Datavox, of Houston, Texas, for the purchase, programming, and installation of audio visual, paging, and access control equipment and software for Keller Senior Activities Center, through the State of Texas Department of Information Resources (DIR) Cooperative Purchasing Program, for the Information Technology Department.

Body

Action Requested:

Consider a resolution authorizing the City Manager to execute an agreement with Datavox for the purchase, programming, and installation of audio visual, paging, and access control equipment and software for Keller Senior Activities Center for a total cost of $160,829.76.

Background:

The City has decided to partner with Datavox to handle the design, configuration, and installation of all audio video, overhead paging, and access control systems for the new Senior Activities Center. Because these technologies are highly specialized and require extensive education to implement successfully, the City has chosen to use a third-party integrator to complete the required work.

The audio visual project will consist of the following:

-                     Multipurpose, 3-way dividable room, each with independent projectors, dropdown screens, and wireless microphones

-                     Classroom with projector and dropdown screen

-                     Conference room with large screen TV

-                     Gym with integrated audio playback

-                     Total cost: $134,925.18

The access control project will consist of the following:

-                     Two exterior doors with badge readers

-                     Three interior doors with badge readers

-                     Integration with the City’s existing centralized access control and video security system

-                     Total cost: $13,668.63

The overhead paging project will consist of the following:

-                     36 ceiling speakers in 19 rooms and hallways

-                     Integration with the City’s existing phone system for fast and efficient operation

-                     Total cost: $12,235.95

Financial Impact:

Funding for these portions of the Senior Activities Center is budgeted in the Facility Improvement Fund with funding provided by the Fiscal Year 2018-19 General Fund Budget and 2020 General Obligation Bond Funds and is included in the City’s allowance budget within the Senior Activities Center construction budget.  The total cost of all three projects is $160,829.76.
